Office and Facilities Manager

Job Summary

North Orange Christian Church is seeking a detail-oriented and motivated Office and Facilities Manager to lead the administrative and facilities operations of our church. This role is critical to maintaining smooth office functions, managing communications, and supporting church leadership, staff, and members. The ideal candidate will thrive in a faith-based environment, possess excellent interpersonal skills, and demonstrate the ability to manage multiple tasks effectively.

Key Responsibilities

Information Flow and Communication

• Supervise and delegate tasks to administrative assistants.

• Oversee the creation and updates of key communication materials, including:

o Weekly bulletins and inserts.

o Website content.

o Internal communications, such as newsletters and announcements.

Office Operations

• Maintain regular office hours (Monday–Thursday, 9:00 AM–5:00 PM).

• Be on-site to support Sunday operations, including setup and teardown (7:00 AM–3:00 PM).

• Manage office supplies, ensuring they are replenished as needed.

• Schedule and coordinate office coverage with volunteers and receptionists.

• Supervise Sunday morning setup activities, such as:

o Organizing the coffee cart and snacks.

o Managing volunteer teams for setup and teardown.

o Ensuring worship supplies (e.g., communion elements) are prepared.

Staff and Calendar Management

• Maintain and oversee the church calendar, including event scheduling.

• Document and distribute staff meeting notes.

• Provide leadership and oversight to employees reporting to the Office Manager.

Special Event Coordination

• Plan and coordinate weddings and funerals hosted on campus.

• Liaise with external partners (e.g., 211, Second Harvest) about schedules and closures.

• Recruit and coordinate volunteers for community outreach events, such as Halloween and Christmas booths.

Administrative Support

• Assist with payroll processes and collaborate with relevant team members.

• Facilitate smooth communication across departments.

• Help pastors manage appointments and schedules.

Facility Management

• Develop and manage facility use agreements for non-church events, including billing, insurance verification, and recordkeeping.

• Oversee key issuance and collection for staff and groups.

• Serve as the primary contact for facility issues, escalating or resolving problems as appropriate.

• Manage relationships with maintenance vendors, including creating service agreements and supervising work.

• Implement and manage an annual maintenance work plan.

• Ensure campus functionality and security by scheduling repairs and proactive measures.

• Supervise custodial and maintenance personnel.

Qualifications

Education and Experience

• Bachelor’s degree in business administration, management, or a related field (preferred).

• At least two years of experience in office management, administrative leadership, or a similar role.

Skills and Competencies

• Exceptional attention to detail and organizational skills.

• Ability to multitask, prioritize, and respond effectively to urgent situations.

• Strong written and verbal communication skills.

• Proficiency in Mac-based systems and software, including event reservation tools, spreadsheets, word processing, and basic desktop publishing.

• Effective in managing diverse teams, volunteers, and community partnerships.

• Resourceful and proactive problem-solving abilities.

Preferred Skills

• Familiarity with scheduling software and financial reporting systems.

• Experience in event management and volunteer coordination.
